Notes, tasks, visits, and email

How activity lands on a record and how to log work from the + menu.

Overview

Every account, contact, and program has one Activity timeline. Upcoming items sit at the top. Related work also shows on Home when you own the task.

How to log work

Starting pointWhat you can add
Top-bar +Task or Note (and new records)
Account header +Note, Task, Visit, Program
Contact header +Note, Task, Visit
Email field on a personOpens the email composer

There is no Email item on the account or contact + menus.

Notes

A note is a dated message on the record. Notes on a contact also roll up to that contact's account.

Tasks

A task has a subject, owner, due date, and status:

  • Not started
  • In progress
  • Done

Relate it to an account, contact, or program when you can. Open tasks for the selected Resource appear on Home. Due this week is that same list filtered to this week.

Visits

An in-person visit is its own activity kind.

  • Always visible on the Account
  • On a Program only if you link the visit to that program
  • On a Contact only if you tag who you met

Home's visit chart and Last contacts Last visit column use account visits, not every note.

Email

Click a contact email (or the compose control on a person row) to draft from Aura. Sending depends on the connected mailbox. The draft is tied to that contact so it lands on their activity.

Files and agreements

  • Account, contact, and program Files — attach with the pane +; click a file to open it in a new tab
  • Account Agreements — PDFs by school year; the latest is what a program shows as Latest agreement
  • School calendars — named URL list on the account; a program can also attach a PDF, PNG, JPEG, or Excel calendar file

Name stays left; remove/trash stays right.
