Frequently asked questions
What is Aura CRM?
Aura is a CRM for K-12 program delivery. It keeps school accounts, the people at those schools, and the programs running there this year in one Stripe-like workspace. It is meant to replace Zoho for this work — not a sales pipeline tool.
How do I sign in?
Open Aura and enter the email and password for your user. Sessions stay in the browser until you sign out. If you are sent back to Sign in, your session expired or you are not on the allow-list.
What does Resource on Home mean?
Resource is Account Owner. Home defaults to you. Change the control on the In-person visits chart to another teammate or All. That same choice scopes Open tasks, Due this week, Upcoming tasks, and Last contacts. A blank Account Owner is not treated as you.
Who shows up under Last contacts?
Active accounts whose Account type is Customer or Partner and whose Account Owner matches the selected Resource. Inactive and Archived accounts stay off the list. Accounts with no visit still appear; missing dates show as an em dash.
How do I find a record quickly?
Use the Search field in the top bar, or press ⌘K (Ctrl+K on Windows). Results group Accounts, Contacts, and Programs as you type. Arrow keys move, Enter opens, Escape closes. There is no separate results page.
How do I create a record?
The + in the top bar opens Quick create: Account, Contact, Program, Task, or Note. List pages also have a + that creates that module's record. Create opens a blocking focus drawer. Existing records are click-to-edit in place.
Where is the Edit button?
There isn't one on existing records. Click a field to edit it, then check to save or X to cancel. Create still uses a drawer. Delete still uses a confirm modal.
How do saved filters work?
Set the chips you want, then Save filter. Each named view has a menu: Rename, Update (overwrite with the current chips), Delete. Click the name to apply it. Seeded views: Accounts → Customers; Contacts → Adena.
Can I collapse the left nav?
Yes. Use the chevron in the nav header. Collapsed shows icons only for Home, Accounts, Contacts, Programs, and each Settings item (hover for the name). The choice sticks in this browser.
What is the round button in the bottom-right?
Bug / feedback. Choose Bug or Feedback, add a title and description, optionally capture the current screen, and send. Aura files a GitHub issue on the project. Admins triage those issues on Settings → Issues.
Where are deals, tickets, or dark mode?
Out of v1. Aura does not ship leads, deals, tickets, marketing, cadences, invoicing, or dark mode yet.
Can a contact belong to more than one account?
Not in v1. A contact has exactly one Account. Programs Supporting is how the same person links to several programs.
What format do phone numbers and websites need?
Phone, when present, must be 10 US digits (a leading 1 is fine) and saves as (XXX) XXX-XXXX. Contact phone is required. Websites must be http or https; if you omit the scheme, Aura prefixes https://. Invalid values do not save.
Why does the Accounts list show someone else's email?
Email and Phone on the Accounts index are the mentor on that account's current program — not the account owner. Owner is the circular photo only. Mentor is a contact lookup on the program.
What do Active, Inactive, and Archived mean?
Status lives on Accounts and Contacts (Programs use Active / Archived). Inactive and Archived accounts cannot be assigned to a new contact or program. Last contacts on Home only includes Active Customer/Partner accounts.
What is Online Program IRN?
An optional integer on the Account, up to 9 digits, unique when present. It is not a program field in v1.
What is a Program?
A Program is a school-year offering at one Account — for example Spanish 2/3 at Adena Local Schools for 2025–26. It has semester dates, a mentor, people with roles, files, and enrollment types. It is not a marketing campaign and not a sales deal.
What's the difference between Mentor and Success manager?
Success manager (shown as Owner on lists and filters) is the Aura user responsible for the record. Mentor is a contact who works the classroom / program. On a program, Mentor is its own lookup — not just another role chip.
I forgot my password. What do I do?
On the sign-in card, choose Forgot Password. Enter your work email. The reset email lands you on Aura to choose a new password. Demo addresses that end in example.com do not receive mail — an Admin should use Set password on that profile instead.
How do I change my own password?
Sign out and use Forgot Password. Admins can set another user's password from that person's profile. They cannot use Set password on their own profile.
Why doesn't my name open Settings?
The user chip opens Profile. Settings is a heading in the left rail with Email, Help/FAQ, Users, Access, Module settings, Activity log, Issues, and Recycle bin underneath. Gmail is also on your own profile.
What does Impersonate do?
Admins can act as another user from Settings → Users so Home and ownership match that person. An Acting as bar appears until you press Stop. Route access and passwords still use your real signed-in account. Members do not see Impersonate.
Who can delete records?
Admins can delete any account, contact, or program from the red trash icon on the record. Members follow Settings → Access: Delete All or Delete Own (Success manager on the record). Deletes go to the recycle bin. Deleting an account also recycles its contacts and programs.
Where do deleted records go?
Settings → Recycle bin. Restore from there while the item is still retained.
Where do I add an account type or enrollment type?
Settings → Module settings. Open Accounts, Contacts, or Programs. Those lists drive the picklists on records.
