Settings and users

Users, roles, impersonation, issues, module picklists, and the recycle bin.

Overview

Settings is a heading at the bottom of the left rail, not a page. Under it: Email, Help/FAQ, Users (admins), Access, Module settings, Activity log (admins), Issues, and Recycle bin.

Gmail lives on Email and also on your own Profile. Connecting Gmail there is your mailbox, not someone else's — another user's profile does not show it.

Admins also get Issues — a triage list of bugs and feedback filed from the in-app button.

Users

Open Settings → Users. Each row is a teammate. Open the name to go to that person's profile.

Impersonate (Admin only) signs the shell in as that person so Home, Resource, and ownership match them. An Acting as bar appears with Stop. Passwords and route access still use your real login. Members do not see Impersonate or the Users item in the rail.

Admins can also change another user's status from the user tools (active vs disabled — disabled users cannot sign in).

Access

Open Settings → Access. Role is Admin or Member.

Admins can view, edit, and delete every record. Members follow the matrix: View / Edit / Delete as All or Own for Account, Contact, Program, Task, and Note. Own is the Success manager on records, and the author on notes.

Module settings

Open Settings → Module settings. Accounts, Contacts, and Programs are collapsible.

Use these lists to add, rename, or remove picklist values, for example:

  • Account types (Customer, Partner, Vendor, ...)
  • School types (School District, ESC, ...)
  • Contact types
  • Student enrollment types on Programs

Records pick from these lists. They do not add types themselves. Enrollment types are names only — no color swatch in the settings list.

Activity log

Open Settings → Activity log. Admins only.

Each row is a sign-in, add, edit, or delete. Sign-ins read Signed in. Other rows name what changed, along with the user and the time. Activity is kept for 90 days, then removed.

Issues

Settings → Issues (/settings/issues). The list is the bugs and feedback on the Aura repo (Daryl11/aura). Members can review it. Comment, close, and reopen are for admins.

The list opens with the newest issue first. Click a column heading to sort by #, title, type, severity, reporter, state, comments, opened, or updated. Click again to reverse the sort, and a third time to return to newest opened. Severity sorts by rank: critical, then high, medium, and low, with a blank severity last. The sort resets when you leave the page.

Type (bug or feedback), Severity, and Reporter filter from the column headings. State (open, closed, or all) reloads the list from GitHub. Label filters the other labels, such as awaiting verification. Clear filters resets the heading filters and the label. The count includes (Click the column heading to sort).

Click a row to open the description, screenshot, and comments in the side panel. Click the same row again to close it. If a report is marked awaiting verification and it is still wrong, Not fixed — send back keeps it open.

Recycle bin

Open Settings → Recycle bin.

Deleted accounts, contacts, and programs land here. Restore while the item is still retained (the product spec keeps them about 60 days).
